Undergraduate Advisory Board Election Procedures

Position Qualifications

 

Nominee qualifications to run for the Undergraduate Advisory Board:

 

·         Nominee must be a brother who is in good standing with his chapter.

·         Nominee’s chapter must be in good standing with IHQ.

·         Nominee must have attended at least one Regional Leadership Seminar within his province.

·         Nominee must complete an election application and have one letter of recommendations submitted to IHQ on his behalf.

·         Nominee must have held a campus leadership position.

·         Nominee may not have been a UGAB representative in the past.

 

Election Procedures

 

Nominations for the Undergraduate Advisory Board:

·         Nominations occur at the Regional Leadership Seminar for the upcoming Leadership Institute.

·         Nomination forms must be submitted to IHQ by the deadline for the RLS nomination to be considered valid.

·         More than one nomination per individual per chapter will be accepted at the Regional Leadership Seminar.

·         Elections will take place during the province meeting at the Leadership Institute.

·         Province delegates will receive copies of the election application and letters of recommendation two weeks before the Leadership Institute.

·         Members can be nominated from the floor at the province meeting if they decide to run at a later date. 

·         A member not present at RLS can be nominated to run for the position. 

Election Procedures:

·         Each nominated candidate from the province will give a five-minute speech.

·         Each nominee will have a question and answer period no more than five minutes from delegates of the province.

·         Candidates may be asked to leave the room so that comments may be made from the floor and open deliberation may take place.

·         The process stated above will occur for each of the nominated candidate in attendance.

·         Nominees must be in attendance in order to be elected. 

 

Voting Procedures:

·         Voting shall be presided over by the province governor and/or IHQ staff member.

·         All votes shall be made by secret ballot and only one vote per chapter will be accepted.

·         A simple majority shall determine results. If no candidate receives a majority, the two with the most votes shall be paired in a run off.

·         The presiding province UGAB representative shall cast a simultaneous vote that can be used to break a tie.

·         The Province Governor and/or IHQ staff member shall count all votes.

·         If there is only one nominee, a voice vote of confidence shall be taken. The opinion of the Province Governor and/or IHQ staff member shall make the determination. A request for a secret ballot vote by any province delegate must be honored.

 

Resignation or Removal from Office Procedures:

·         If a member of the Undergraduate Advisory Board resigns or is removed from office, the next highest vote recipient from the UGAB election will be offered the position. If there is a tie in the number of votes received by the runner-ups, IHQ’s Director of Leadership Development, UGAB Advisors and that Province Governor will choose who to offer the position too.
 

POSITION DESCRIPTIONS

 

Position: UGAB Representative

Responsibilities

·       Attend all UGAB meetings and other required events.

·       Assist in promoting Regional Leadership Seminars and facilitate one session at the RLS for your province.

·       Develop a system of communication between yourself and the chapter presidents in your province.

·       Poll the chapter presidents in your province for questions and concerns that can be discussed at UGAB meetings, and potentially at the Board of Directors meetings.

·       Disseminate relevant information regarding the Board of Directors meeting to the chapter presidents in your province.

·       Approve any updates or changes to the fraternity’s dues structure.

·       Communicate on a regular basis with the province governor from your province.

·       Transition the incoming UGAB representative for your province into their position.

·       Perform additional Leadership Institute responsibilities as assigned.

·       Attend all UGAB training sessions.

·       Elect UGAB Chairman

·       Elect UGAB Secretary

·       Elect two Undergraduate Convention Recorders

 

 

Position: UGAB Chairman

Additional Responsibilities

·       Chair all UGAB meetings and conference calls.

·       Chair the Undergraduate Convention.

·       Develop a working system of communication between members of the UGAB and IHQ.

·       Receive Board of Directors meeting reports from the Undergraduate Directors and distribute them to the UGAB members in a timely manner.

·       Assist in promoting RLS and facilitate one session at the Regional Leadership Seminar for your province.

·       Develop a system of communication between yourself and the chapter presidents in your province.

·       Poll the chapter presidents in your province for questions and concerns that can be discussed at UGAB meetings, and potentially at the Board of Directors meetings.

·       Disseminate relative information regarding the Board of Directors meeting to the chapter presidents in your province.

·       Approve any updates or changes to the fraternity’s dues structure.

·       Communicate on a regular basis with the Province Governor within your Province.

·       Transition the incoming UGAB representative for your province and UGAB Chairman into their positions.

·       Perform additional Leadership Institute responsibilities as assigned.
