HOW TO Report Initiates

Select chapter officers and advisors will have permission to update member statuses through the DU Portal. This includes reporting new initiates. Please note that there is no Initiation Report as it existed in the past. All initiates must now be reported through the Roster tool within the DU Portal using the following steps. All new initiates must be reported within seven (7) days of the Initiation Ceremony.

NOTE: Everyone in your chapter will be able to view the chapter’s “Roles” and “Roster,” but only select individuals have administrative rights through the DU Portal to make updates. These people are: Chapter President, VP Finance, VP Administration, VP Member Education, VP Recruitment, Chapter Advisor, VP Finance Advisor, and House Corporation President. 

  1. Log into the DU Portal at portal.deltau.org.
  2. At the top right of your screen, there should be a button with a house icon and your chapter name. Click on that to access your chapter dashboard.
  3. Click on the “Roster” icon.
  4. All members on your chapter roster will appear on this screen. By default, members will be sorted in alphabetical order by their last name. You can use the "Views" located above the list of members to view only Associate Members. You can use the “Sort” button located above the list of members and to the right to sort by “Status A-Z.” This will group all associate members together at the top of your roster list.
  5. Select the check box next to the name of each person you wish to report as an initiate.
  6. From the “Actions” dropdown in the top left, select “Update Contact’s Status.”
  7. On the next page, a dropdown box will appear that says “Select Status.” Click on the box and then choose “Undergraduate.”
  8. On the next page, insert the date of the Initiation Ceremony and select “Apply to All.”
  9. Once you hit “Change Status,” each person should now have the status of Undergraduate on your chapter’s roster.

If your chapter has associate members that are being held over and will be initiated at a future date, no changes to their member status is needed at this time.

If you have associate members who have depledged from the Fraternity, you should update their statuses accordingly. Follow the same steps as above but choose “Depledged” from the “Select Status” dropdown menu.
